DEFINITIONS

These Terms & Conditions apply to every organization or person registering as an attendee, a guest or an exhibitor for the Life Sciences Career Expo 2022 (LSCE 2022), to be held virtually from May 9-13, 2022 (hereafter referred to as “the conference”), organised by the LSCE organizing committees (hereafter referred to as “the conference organisers”).

All references to a date or a deadline, mentioned in these terms and on other conference documents, refer to the Eastern Daylight Time (EDT).

CODE OF CONDUCT

It is the policy of the Life Sciences Career Expo (LSCE) that all participants, including attendees, vendors, LSCE staff, volunteers, and all other stakeholders at LSCE meetings will conduct themselves in a professional manner that is welcoming to all participants and free from any form of discrimination, harassment, or retaliation. Participants will treat each other with respect and consideration to create a collegial, inclusive, and professional environment at LSCE Meetings. Creating a supportive environment to enable scientific discourse at LSCE meetings is the responsibility of all participants.

Participants will avoid any inappropriate actions or statements based on individual characteristics such as sex, age, race, ethnicity, language, sexual orientation, gender identity, gender expression, marital status, nationality, political affiliation, ability status, educational background, or any other characteristic protected by law. Disruptive or harassing behaviour of any kind will not be tolerated. Harassment includes but is not limited to inappropriate or intimidating behaviour and language, unwelcome jokes or comments, unwanted touching or attention, offensive images, photography without permission, and stalking.

Violations of this code of conduct policy should be reported to meeting organizers, LSCE staff, or the LSCE Director of Meetings. Sanctions may range from verbal warning, to ejection from the meeting without refund, to notifying appropriate authorities. Retaliation for complaints of inappropriate conduct will not be tolerated. If a participant observes inappropriate comments or actions and personal intervention seems appropriate and safe, they should be considerate of all parties before intervening.

CONFERENCE REGISTRATION

Only fully completed registration forms will be accepted. A confirmation of registration will be sent upon receipt of payment in full.

Discounted rates are available for students and postdoc fellows. The conference organizers may request proof of full-time enrolment at a recognised university or college or an according programme (i.e. University ID, confirmation by the head of department, etc.) during or after the registration process. The organizing committee may determine the validity of such doduments at its sole discretion. Failure to provide such documents within seven (7) calendar days may invalidate the corresponding registration, even after a confirmation of registration has been issued.

The registration fee includes entry to general conference programs (with the exception of invite-only events and programs), provided that sufficient seating space is available. The conference organiser cannot guarantee available space in every session.

If the maximum delegate capacity is reached, the conference organisers reserve the right to refuse additional registrations.

REGISTRATION CONFIRMATION/RECEIPT

A registration confirmation/receipt will be sent by email after the online registration, a related payment and any necessary documents have been received by the registration department.

EXHIBITOR

The purpose of the conference is to bring together students and postdoctoral fellows with educators, researchers, industry partners and government stakeholders, with the common interest of educating the next generation of trainees about the diverse careers in the life sciences sector. The conference organisers reserve the right to remove, decline, or prohibit any exhibit which, in its opinion is not suitable to or in keeping with the character of the exhibition.

The exhibitor shall maintain the confidentiality of privileged information entrusted by the conference organisers. The Exhibitor shall not sub-license transfer, or apportion any part of its allotted space unless specifically approved by the conference organisers.

METHODS OF PAYMENT

Payments should be made in advance and in CAD only, using a method provided by the registration form.

REGISTRATION NAME CHANGE

The event organizers may charge a handling fee of CAD $50 for every name change to an existing conference registration. A new registration form for the substitute attendee or guest should NOT be submitted. Name changes will be accepted by email indicating the old and new names including the required contact details until May 1, 2022. After this date, all name changes must be carried out on-site.

CANCELLATION POLICY

Notice of cancellation (e.g. in case of sickness, lack of funding or any other personal reasons) must be made in writing by email to the event organizers. When a refund is issued, it will be issued to the original form of payment. The cancellation will not be effective until a written acknowledgement from the event organizers is received.

Attendee registration fees may be refunded as follows:
Written cancellation received:

  • before April 1, 2022: 75% refund
  • between April 1 and May 6, 2022: 25% refund
  • after May 6, 2022: no refund

No refunds will be provided for exhibior registration fee or committment whatsoever.

The date of the email receipt date will be the basis for considering refunds. Refunds will be made after the conference.

In the case of over-payment or double payment, refund requests must be made in writing and sent to the event organizers, by email. A processing fee of 5% of the total amount may be retained to offset the payment processing cost.

In the case of failure to provide validation documents, refund may be issued automatically. A processing fee of 5% of total amount may be retained to offset the payment processing cost.

No refunds will be granted for unattended events or early termination of attendance, in case of cancellation of speakers, lack of space in the conference room or any other incidents during the conference, which are beyond the control of the conference organisers.

By registering to the LSCE 2022 participants agree that neither the organising committee nor the affiliated parties assume any liability whatsoever.

CANCELLATION OF THE CONFERENCE

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organisers, the conference organisers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.

Under these circumstances, the conference organisers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the participant after deducting costs already incurred for the organisation of the conference and which could not be recovered from third parties.

MODIFICATION OF THE PROGRAMME

The conference organisers reserve the right to modify the programme. No refunds can be granted in case of cancellation of speakers, lack of space in the conference room or any other incidents during the conference which are beyond the control of the conference organisers.

DATA PROTECTION AND SHARING OF CONTACT DETAILS

The protection of your data and the observance of your right of informational self-determination with regard to the collection, processing and use of your personal data are important to us.

LIABILITY

The conference organisers shall be held liable in the framework of a duty of care as a respectable businessman according to statutory provisions. The liability of the conference organizers – for whatever legal reason – shall be limited to intent and gross negligence. The liability of commissioned service providers shall remain unaffected by this. The participant shall take part in the conference at his/her own risk. Oral agreements shall not be binding if these have not been confirmed in writing by the LSCE.

FULFILMENT AND JURISDICTION

The terms of this contract shall be fulfilled in Toronto, Canada and, in the event of any legal claims arising from either party, Toronto, Canada shall be the sole court of jurisdiction.

Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights. If any provision of these Terms is held to be invalid or unenforceable by a court, the remaining provisions of these Terms will remain in effect. These Terms constitute the entire agreement between us regarding our Service, and supersede and replace any prior agreements we might have between us regarding the Service.

CHANGES

We reserve the right, at our sole discretion, to modify or replace these Terms at any time. If a revision is material we will try to provide at least 7 days notice prior to any new terms taking effect. What constitutes a material change will be determined at our sole discretion.
